What you'll accomplish
By the end of this guide, you'll have a personal library of 10-15 AI-ready email templates covering your most common correspondence types — so any routine email takes under 2 minutes, and the output consistently sounds professional and on-brand.
What you'll need
Before you build anything, spend 10 minutes listing the email types you write most often. Typical categories for admins:
Write down 8-10 of your own. These become your template categories.
For each category, create a prompt template that produces the right output consistently. The key is using [brackets] for the parts that change each time.
Open ChatGPT and test this format:
Write a professional email to [recipient description]. Purpose: [meeting confirmation / request / decline / etc.]. Key details: [list the facts]. Tone: [professional and warm / formal / brief and direct]. Include a subject line.
Send it with real details and review the output. Adjust the tone instruction or add "Keep it under [X] sentences" if the output is too long.
Create a Word document or OneNote page called "Email Template Prompts." Structure it like this:
## MEETING CONFIRMATION (EXTERNAL)
Write a professional meeting confirmation email to [name], [title] at [company].
Details: [date, time, location/link, purpose].
Mention I'll send a calendar invite separately.
Tone: professional and welcoming. Under 4 sentences. Include subject line.
## VENDOR DECLINE
Write a professional decline email to [vendor name/company].
We're declining because: [we have an existing vendor / not the right fit / budget constraints].
We [do / don't] want to be contacted again.
Tone: gracious but clear. Include subject line.

In a single 30-minute session, test one prompt per category, refine based on the output, and add it to your document. You'll end up with 10-15 ready-to-use prompts.
For each category, run the prompt once with realistic test data and rate the output: does it sound like you? Is the length right? Does the tone match your organization? Adjust until you're happy, then lock in the template.
When a new email comes in that fits a template category:
Total time per email: under 2 minutes once the library is built.
