What you'll accomplish
By the end of this guide, you'll have a ChatGPT workflow that turns your raw data and notes into a polished weekly or monthly report in under 15 minutes — the same report that used to take you 1-2 hours every cycle.
What you'll need
Go to chat.openai.com → click "Sign up" → use your email or Google account. The free version handles this workflow perfectly — no paid plan needed.
What you should see: The ChatGPT chat interface with a message box.
This is a one-time setup. Open the report you produce most often and identify: what goes into it (data sources), what it looks like (structure), and who reads it (audience and purpose).
Then create a template prompt that you'll reuse every cycle. Save this in a Word document or OneNote page:
You are helping me produce [report name] that I create every [weekly/monthly].
The report goes to: [audience]
It covers: [time period]
Sections in the report:
1. [Section 1 — e.g., "Attendance Summary"]
2. [Section 2 — e.g., "Completed Action Items"]
3. [Section 3 — e.g., "Outstanding Issues"]
4. [Section 4 — e.g., "Next Week Priorities"]

Generate the complete report in the format above.
Before each reporting cycle, collect: any spreadsheet data, notes from meetings, action item lists, status updates from colleagues. Don't worry about format — bullet points, numbers in any order, half-sentences are all fine. ChatGPT will organize them.
Example raw data you might paste in:
- 5 people attended Monday standup (Marcus missing - vacation)
- Budget tracking: $42,300 spent of $50,000 Q2 budget
- Action items done: vendor contract signed, office supplies ordered
- Still open: IT ticket for Sarah's laptop, parking pass renewal
- Next week: onboarding 2 new hires Tuesday, all-hands prep
Copy your saved template prompt from Step 2 → paste it into ChatGPT → replace "[YOU WILL PASTE NEW DATA HERE]" with your raw data → hit Send.
What you should see: A fully formatted report with all sections filled in from your data, in professional paragraph or structured format matching the template.
Troubleshooting: If the format doesn't match your actual report, paste a sample of your actual report in the prompt: "Here is an example of what this report looks like: [paste example]. Format the new report the same way."
Read through the output. ChatGPT organizes and polishes your data — check for:
